The short answer: a good leadership retreat near Pune is small (8–20 people), private, 60–90 minutes from the city, and built around two or three decisions you want to leave with. A two-day, one-night format at a quiet lakeside venue works best for most teams. Avior Resorts in Shirwal, 58 km south of Pune on NH48, has 10 rooms, an indoor hall for 60–70 people and a full-day buyout for up to 25 guests, which makes it easy for one leadership team to have the place to itself.
This guide is for founders, CXOs, HR heads and chiefs of staff who have been asked to "organise the leadership offsite" and want it to be more than a nice lunch.
What makes a leadership retreat different from a team outing?
A team outing is about energy and bonding. A leadership retreat is about decisions. That changes almost everything about how you choose the venue and plan the day:
| Team outing | Leadership retreat | |
|---|---|---|
| Group size | 20–150 | 8–25 |
| Main goal | Bonding, celebration | Strategy, alignment, decisions |
| Venue priority | Activities, lawns, capacity | Privacy, quiet meeting room, good sleep |
| Agenda | Mostly activities | Mostly facilitated sessions |
| Best length | One day | Two days, one night |
| Biggest risk | Boredom | Leaving without clear owners |
If you are planning a larger day out for the wider team, our corporate offsite venues checklist and the corporate offsite page are a better starting point.
How to choose a venue for a leadership retreat near Pune
1. Distance: far enough to switch off, close enough not to tire
Under 40 minutes from the office and people drift back for "just one call". Over three hours and half of day one disappears on the road. The sweet spot from Pune is 60–90 minutes. Shirwal is about 1 hour 15 minutes from central Pune and a little longer from Hinjewadi, Kharadi or Magarpatta. See our distance and route guide to Shirwal for times from each part of the city.
2. Privacy: can you be the only group?
Leadership conversations get candid quickly. You don't want a wedding sangeet on the next lawn or another company's offsite at the next table. At a large resort that is hard to guarantee. At a 10-room property, a group of 12–20 can book most or all of the rooms and, in effect, take over the venue.
3. A meeting room you would actually work in
Ask for photos of the room set up for your numbers, not an empty hall. Check:
- Natural light and a view (it matters on hour six).
- A screen or projector, a working HDMI cable and a backup.
- Wi-Fi tested with your video-call tools if anyone is dialling in.
- Space to move from boardroom seating to small groups of three or four.
- Whiteboards or flip charts, and wall space to stick up paper.
Avior's indoor hall seats 60–70 in cluster seating, so a group of 15–25 has plenty of room to spread out into breakout corners.
4. Somewhere to think outside the room
The best conversations on a retreat often happen on a walk. A lakeside lawn, a quiet garden path, or chairs by the water give pairs somewhere to go for a 20-minute "walk and talk" exercise.
5. Rooms that let people sleep
Leaders who sleep badly argue badly. Ask how many rooms are lake-facing, whether anyone will need to share, and how far the rooms are from any music in the evening. At Avior, rooms are split into Deluxe (350 sq ft, partial lake view), Luxury Patio – Lake View (500 sq ft with a private balcony) and Luxury Patio Garden – Lake View (500 sq ft opening onto a shared garden). Details are on the rooms page.
A two-day leadership retreat agenda you can copy
This format works for most leadership teams of 8–20. Adapt the session names to your own priorities.
Day 1
| Time | Session | Purpose |
|---|---|---|
| 8:00 am | Leave Pune | Beat the NH48 traffic at Khed Shivapur |
| 9:30 am | Arrive, breakfast by the lake | Settle in, phones away |
| 10:00 am | Opening: "What would make these two days a success?" | Agree the 2–3 outcomes |
| 10:45 am | Look back: what worked, what didn't | Honest review of the last period |
| 12:30 pm | Lunch | |
| 1:30 pm | Walk and talk in pairs (20 minutes) | Fresh thinking before the big topic |
| 2:00 pm | Strategic topic 1 | Options, trade-offs, decision |
| 4:00 pm | Hi-tea, check in to rooms | |
| 5:00 pm | Free time: pool, lawn, rest | Leaders need white space |
| 7:30 pm | Dinner and bonfire | The informal conversations |
Day 2
| Time | Session | Purpose |
|---|---|---|
| 7:00 am | Optional sunrise walk or yoga by the lake | |
| 8:30 am | Breakfast | |
| 9:30 am | Strategic topic 2 | Decision |
| 11:00 am | Commitments: owner, date, first step for every decision | The most important hour |
| 12:30 pm | Lunch | |
| 1:30 pm | How we will work together; close | |
| 2:30 pm | Drive back to Pune | Home before evening traffic |
Tip from planners who do this often: protect the 11:00 am commitments session on day two. If the agenda runs late, cut something else. A retreat without named owners is a retreat that didn't happen.
Should you hire a facilitator?
For teams of eight or more, a neutral facilitator usually pays for themselves. They let the CEO or founder take part instead of running the room, and they push the group to finish discussions with decisions. If you use an internal facilitator, choose someone who is not part of the leadership team being discussed.
How to budget for a leadership retreat near Pune
Most leadership retreat budgets fall into five lines. Ask every venue to quote against the same lines so you can compare like with like.
| Budget line | What to ask for |
|---|---|
| Venue / day use | Meeting room, AV, Wi-Fi, refreshments for the full day |
| Rooms | Number of rooms × nights, with occupancy (single or twin) |
| Meals | Breakfast, lunch, hi-tea, dinner per person, plus any special diets |
| Travel | Tempo traveller or cars from Pune, tolls, driver stay |
| Facilitation & extras | Facilitator fee, printed material, activities |
As a reference point, Avior's Event & Full-Day Buyout is ₹1,00,000 for a full day for up to 25 guests, which includes the private event venue, welcome refreshments, standard seating, high-speed Wi-Fi, basic AV support and dedicated event coordination. Overnight rooms and meals are quoted on top. For a fuller cost breakdown, read our corporate offsite cost guide.
Retreat checklist: two weeks before
- Confirm the 2–3 outcomes with the CEO or sponsor in writing.
- Send pre-reads at least five days before, never on the morning.
- Share the room list and any dietary needs with the venue.
- Book transport with a pickup point that suits most attendees.
- Agree a "no laptops" rule for sessions, with set times for email.
- Test the screen and Wi-Fi on arrival, before anyone sits down.
- Plan who will write up decisions and send them within 48 hours.
Why a lakeside setting helps
There is nothing magical about water, but there are practical benefits. A view that is not a car park gives people somewhere to rest their eyes between sessions. A walk around the edge of a lake is a natural 20-minute break. And an evening by a fire tends to produce the frank, unhurried conversation that a boardroom rarely does. Many of the corporate teams that have hosted offsites at Avior, including groups from companies listed on our clients page, choose the property for exactly that mix of quiet and convenience.
