The short answer: for an engagement, ring ceremony or roka near Pune, choose a venue that gives you both an outdoor and an indoor option, enough parking, a few rooms for close family, and a setting that photographs well without heavy décor. A lakeside resort an hour or so from the city works well for 50–150 guests. Avior Resorts in Shirwal, 58 km south of Pune, has event lawns for up to 300 guests, an indoor hall for 60–70, and 10 rooms on the edge of Wadgaon Lake.
Engagement, ring ceremony or roka: what are you actually planning?
Families use these words differently, so agree on the format first. It decides the venue size and the timing.
| Function | Typical guests | Typical length | What it usually needs |
|---|---|---|---|
| Roka / sagai (family-only) | 20–50 | 2–3 hours | A private room or small lawn, lunch or dinner |
| Ring ceremony | 50–150 | Evening, 4–5 hours | Stage, sound, photography, dinner |
| Engagement party | 100–300 | Evening into night | Lawn, DJ, bar, dinner, rooms for family |
Indoor or outdoor? How to decide
Outdoor (lawn or lakeside) is the first choice for most couples near Pune between October and February, when evenings are dry and pleasant. Natural light and a lake behind you make for easier photographs and need less décor.
Indoor (banquet or hall) is safer from June to September, when the monsoon can arrive with little warning, and for afternoon functions in April and May.
The best plan is a venue with both. At Avior, a 50–70 guest ring ceremony can be held indoors in the hall, while a larger party can use the lawns, with the hall kept as a backup. If you are planning across the rains, read our guide to monsoon wedding backup plans.
How to plan guest numbers (and why it matters)
Families almost always underestimate engagement guest lists. A simple way to plan:
- Write the "must invite" list from both families.
- Add 15% for plus-ones and late additions.
- Assume 80–90% of those invited actually come.
- Book the venue for the higher number and caterers for the lower one, with a confirmation date 7–10 days before.
A sample engagement day timeline at a lakeside venue
| Time | What happens |
|---|---|
| 12:00 pm | Families check in to rooms; lunch for close family |
| 2:00 pm | Décor and sound set-up begins; photographer scouts the lakeside |
| 4:30 pm | Couple's portraits by the water in the late-afternoon light |
| 5:45 pm | Guests arrive; welcome drinks |
| 6:15 pm | Sunset over Wadgaon Lake (in winter); family photos |
| 6:45 pm | Ring ceremony on the lawn or in the hall |
| 7:30 pm | Speeches, music, dancing |
| 8:30 pm | Dinner |
| 10:30 pm | Day guests leave; close family continues by the bonfire |
| Next morning | Breakfast and a slow check-out |
Questions to ask an engagement venue before you book
- What is the capacity for a seated dinner and for a standing party, indoors and outdoors?
- What is the rain or weather backup? Is it a confirmed space, or "we'll manage"?
- Can we bring our own decorator, photographer or caterer? Are there charges for outside vendors?
- What time must the music stop? Is there a sound limit?
- How many rooms are available, and can we hold them for family?
- How much parking is there? Where will guests' drivers wait?
- What is the full cost, including GST and any service charge?
- What is the cancellation and date-change policy?
Décor ideas that work with a lake behind you
- Keep the backdrop low. A tall flower wall can hide the very view you chose the venue for.
- Use warm lights. Fairy lights on trees and lanterns along the path look better in photos than coloured LEDs.
- Seat guests facing the water for the ceremony, so the lake becomes the backdrop.
- Plan a "golden hour" photo slot of 30–40 minutes before sunset for the couple.

Food and timing tips
- Serve dinner by 8:30 pm. Older guests and families with children will thank you.
- Fix the menu two weeks ahead, with a final headcount a week before.
- Plan one signature dish from each family's cuisine; it is a simple, personal touch.
- Ask about a kids' menu and an earlier kids' dinner.
Why couples choose a resort over a city banquet
A city banquet hall is convenient but usually booked back to back, with fixed timings and little character. A resort an hour away gives you:
- A whole day, not a time slot. Set up calmly, celebrate, then stay.
- Rooms for the families, so nobody drives back at midnight.
- A setting that does half the décor for you.
- Space for the next step. Many couples who hold their engagement at a venue come back for a pre-wedding shoot or the wedding itself. See our wedding venue page.
Getting there
Shirwal is about 58 km from Pune on NH48 (Pune–Bengaluru highway), roughly 1 hour 15 minutes by car from central Pune, and about 180 km from Mumbai. Guests coming from Mumbai can drive down the expressway and continue south past Katraj. Full directions are in our Shirwal distance guide.
Engagement planning timeline
| When | What to do |
|---|---|
| 3–6 months before | Fix the date with both families; shortlist and visit two or three venues |
| 3 months before | Book the venue and rooms; book the photographer |
| 2 months before | Book décor, sound and any music or DJ; send save-the-dates |
| 6 weeks before | Finalise the menu tasting; order rings and outfits if not done |
| 3 weeks before | Send invitations with directions and a map pin |
| 1 week before | Confirm the final headcount; share the timeline with every vendor |
| 1 day before | Décor walk-through; confirm the rain backup |
Making it easy for guests
- Send a map pin, not just an address. Our address is Avior Resorts, Opposite Kpra Masala Factory, Wadgaon, Shirwal, Satara district, Maharashtra 412801.
- Share drive times from the main parts of Pune and from Mumbai.
- Suggest a departure time that avoids Friday or Saturday evening traffic at the Khed Shivapur toll.
- Arrange a coach from a central point in Pune for guests who prefer not to drive at night.
- Tell guests the dress code and the setting. Heels sink into lawns, so let them know the ceremony is outdoors.
Common engagement-planning mistakes
- Booking the venue for too few people. Plan for the high number; it's easier to scale down.
- No weather plan. Even in winter, have the indoor space confirmed.
- Starting late. A 7 pm start that becomes 8 pm pushes dinner too late for older guests.
- Too many speeches. Keep them to three or four, and two minutes each.
- Forgetting the photographer's light. Schedule the couple's portraits before sunset, not after dinner.
